About Role

As a Senior Producer, you will lead or co-lead event and experiential productions of all shapes and sizes. At Makeout, this includes client management as well as project management/oversight, ultimately being responsible for the success of the overall production and client satisfaction. Our productions are often deeply complex, requiring your ability to envision and develop approaches and solutions even when there’s no clear “How To Do XYZ Project” handbook, and to identify and manage multiple partners, vendors and specialists to help bring the whole vision to life. 

As part of the role, you may also manage freelance and full-time producers on a project-by-project basis, and be assigned Producers to mentor. You might also share departmental admin-related tasks with the Executive Producer, to whom you will directly report.

Responsibilities

Project & Client Management
  • Ensure client priorities and objectives are met and maintained throughout the entire project journey and production 
  • Oversee the creation and maintenance of timelines and project tracking documents/tools
  • Develop and manage budgets, handle vendor contract and fee negotiations, oversee bill payments, and track expenses
  • Create and manage documents to communicate ideas and production details to clients, including proposals, presentations, production plans and schedules
  • Manage on-site teams to ensure seamless installation and execution
  • Work cross-functionally (internally and externally) to ensure all deliverables and deadlines are identified and managed day-to-day in order to successfully meet expectations and project goals
  • Lead clear and consistent communication and coordination between team members across in-house departments, outside organizations/consultants, and clients
  • Understand and clearly translate both team and client vision, direction, and needs
  • Manage client needs and expectations, while building and strengthening client relationships
  • Manage multiple, simultaneous projects and teams in various stages of a project lifecycle
    Assist with the development and refining of Statements of Work
  • Manage general project administration – scheduling and running meetings, travel booking, file management, payroll, expense reporting
  • Be willing and able to travel by plane for out-of-town pitches, shoots, events, etc.

Production
  • Manage and execute a variety of projects that are often multifaceted and complex, like festivals, pop-ups, marketing activations, creative installations, events and parties, custom objects, and the occasional trade show booth
  • Develop a detailed plan of action and lead it through to completion, ensuring the project is running smoothly during all phases
  • In partnership with the creative team, translate creative ideas into project plans and deliverables, at times value engineering or pivoting when discovering ideas are infeasible or beyond scope
  • Assist in the negotiation, setting up, hiring and management of freelancers, collaborators and vendors on a project basis
  • Ensure all production aspects of a project are properly planned and supported — including run of location/venue scouting and management, permitting, floor planning, scenic/rentals, catering, staffing, AV, staging, run of show/programming, stage management, etc.
  • Source and manage vendors to obtain and negotiate quotes, oversee production and track deliveries. This includes scenic, AV, furniture rentals, caterers, etc.
  • Plan runs-of-show, coordinate with talent teams, liaise with other relevant departments
  • Prepare contracts, call sheets, schedules/run of shows and talent agreements and releases
  • Serve as the on-site production lead; weekend/evening availability as needed
  • When it makes most sense, occasionally assist with lower-level tasks including but not limited to gear handling/pickups/returns and runs
  • Manage Production Coordinators, PAs, BAs and any other event staffing as needed
  • Understand Makeout and client-specific Health & Safety policies and objectives, working to ensure H&S practices are applied through the entirety of the project and to create a safe experience for all.
  • Ability to travel by plane, as we work on projects all across the country. 

Team Collaboration / Dept Admin
  • Day-to-day management, delegation and oversight of project team
  • Coordinate with members of the creative team to ensure deliverables are on track
  • Assign specific roles and responsibilities throughout the planning and onsite execution
  • Serve as both a leader and a team player within the department and Makeout in general
  • Maintain and enforce any company collaboration tools, calendars, file sharing, time tracking
  • Support business development initiatives and research
  • Ensure all budgets are tracked and invoices are submitted accurately and on time
  • Support the policies, practices, and procedures related to the company’s work
  • Support internal projects as self-directed, or as directed by Cofounders / Executive Producer

Requirements

Education/Certification
  • Bachelor’s degree or equivalent

Work Experience
  • 7+ years of similar experience

Knowledge / Skills / Abilities
  • Has experience managing multiple clients and projects simultaneously
  • Delivers unsurpassed client and guest service
  • Is a proactive, thoughtful and strategic thinker
  • Thrives in a fast-paced environment, is resourceful, self-motivated, extremely organized and detail-oriented
  • Has excellent communication and presentation skills.
  • Has excellent spreadsheet development and management skills, particularly with Google Sheets
  • Is solutions-oriented when issues arise with clients and projects
  • Proven ability to successfully lead large, complex projects with multidisciplinary teams
  • Ability to manage and supervise various projects and teams simultaneously
  • Has excellent prioritization skills and the ability to change/shift focus with ease.
  • Has a broad network of contacts in the experiential marketing and production industries/fields.

Pay Range

$100,000-$115,000 annually. This is the minimum and maximum base salary that we, in good faith, are willing to pay for this role at the time of this posting. Salary commensurate with experience.
